Job Summary

The Staff Accountant / Payroll Specialist at AVT Simulation is responsible for payroll processing, overseeing general accounting operations, managing financial records, and ensuring compliance with Generally Accepted Accounting Principles (GAAP). This role involves processing bi-weekly & monthly payroll, performing account reconciliations, and supporting month-end and year-end close processes. The Staff Accountant / Payroll Specialist will also assist in audits, improve internal controls, and provide detailed analysis of financial data to aid in decision-making. This position is critical in ensuring the accuracy and integrity of AVT Simulation’s financial operations.
This position is on-site.

Responsibilities/Duties/Functions/Tasks

· General Ledger Accounting:
  • Maintain and oversee the general ledger to ensure accurate and timely recording of all financial transactions.
  • Prepare journal entries for payroll, benefits, depreciation, prepaids, and accruals.
  • Perform monthly, quarterly, and annual account reconciliations, including bank and balance sheet accounts.
· Payroll:
  • Enter and update corresponding employee data in Deltek Costpoint to support labor cost tracking and payroll integration.
  • Review and validate employee timesheets in Deltek Costpoint to ensure proper coding, approvals, and compliance with company policies and DCAA requirements.
  • Manage the export of time and labor data from Deltek Costpoint to Paylocity, ensuring accurate mapping and transmission.
  • Maintain accurate payroll records and documentation in accordance with company policy and audit requirements.
  • CBA compliance.
  • Internation payroll processing.
· Month-End and Year-End Close:
  • Lead and participate in the month-end and year-end closing processes, ensuring accurate and timely financial reporting.
  • Reconcile and review all accounts to ensure proper closing and alignment with reporting timelines.
  • Assist in the preparation of audit schedules, documentation, and act as a liaison during the audit process.
· Accounts Payable and Receivable Support:
  • Provide oversight and guidance on accounts payable (AP) and accounts receivable (AR) functions, ensuring accuracy and compliance with company policies.
  • Review AP and AR reports, resolve any discrepancies, and ensure timely invoicing and payments.
  • Monitor aging reports and follow up on outstanding invoices and payments.
· Regulatory Compliance and Internal Controls:
  • Ensure compliance with financial policies, procedures, and internal controls.
  • Assist in implementing and maintaining internal control procedures to safeguard company assets.
  • Prepare and file regulatory reports, including sales tax filings, in compliance with local, state, and federal regulations.
· Financial Analysis and Special Projects:
  • Support the Finance team in strategic decision-making by preparing ad hoc financial reports and analysis as required.
  • Participate in continuous improvement initiatives to streamline accounting processes and improve efficiency.

Qualifications

Minimum Requirements

  • Education:
    Bachelor’s degree in Accounting, Finance, or related field.
  • Experience:
    • Minimum of 5-7 years of progressive accounting experience, preferably in a government contracting or defense industry environment.
    • Experience processing payroll.
    • Strong knowledge of GAAP, financial reporting, and accounting processes.
    • Experience with accounting software (e.g., QuickBooks, Sage Intacct, Deltek, or equivalent ERP systems). Deltek Costpoint experience is highly desirable.
    • Experience in working with DCAA (Defense Contract Audit Agency) regulations or government contracts is highly preferred.
